You can use these fields to select users based on the information in their master data.

Example: In the company, there are, for example, the organizational units AV-PM (for Avendoo project management) and AV-SE (for Avendoo software development). By entering “AV-SE”, you narrow the user selection to all users in the AV-SE organizational unit.

In the Region, Country, Division, Group, and OU fields, you can also use wildcards to select multiple organizational units, for example.

City can be defined as an additional selection criterion for the participant rules. The city must be entered in full.

Example: You enter “Bochum” as the city.

This entry restricts the selection to all users who have “Bochum” entered as their city in the user data. It does not matter whether they belong to different organizational units.

When selecting roles, you can also combine multiple roles by separating the role names with a semicolon.

Example: Sales; Marketing

In this case, users are selected who are assigned both roles, “Sales” and “Marketing”. If only one of the two roles is assigned, the user is not selected.

To add a certification to this participant rule, click the Select button under Certification and confirm your selection. You can remove or replace this certification at any point.

Under Certification, you can also choose whether it applies to all users who have a valid certificate, or all users who have a certificate that will expire soon (i.e., expiration date – validity display) or has already expired.

For the entry date, select the date that is decisive for the users’ start date in your organization. This is not the date the respective user’s account was created.

Example: An employee has their first day of work on August 1 of a given year. Then set the user’s entry date to that date.

If you want to select users who have the team leader function, select the checkbox Team leader status required.

By default, the option Consider all users is selected. If required, adjust this option to consider only users who are supervisors or who are not supervisors.

Registered
All selected users are automatically registered for the Course activation. The learning unit is therefore available directly on the learning dashboard.

Catalog
The Course activation is visible in the catalog for all selected users. The user will only see the Course activation in the catalog if the Allow self-registration option is set under Registration options (Course activation).

No access
All selected users do not have access to the Course activation.

Mandatory
As soon as the selected users are registered, the learning unit is displayed on the learning dashboard under Mandatory.

Optional
As soon as the selected users are registered, the learning unit is displayed on the learning dashboard under Optional.

Edit mode can be changed by team leader
Select the checkbox to specify that a team leader can decide in the employee view whether a course activation should be optional or mandatory for an employee.

Employees unable to see this course activation are allowed to be registered by the team leader
This function allows team leaders to add their employees to the course activation even if they are not yet participants in the course activation (Catalog or Registered).

Define how users can register for the course activation:

• Enable self-registration
• Registration can be done by team leader and authors
  If the author selects this option and then adds participants via catalog, the Course activation is not visible in the participants’ catalog because they are not allowed to self-register. The Course activation is only visible in the catalog via the employee view from the team leader cockpit.
• Only author can do registration
  For mandatory training, select this option to prevent self-deregistration or deregistration by the team leader.
  If you have selected this option, only you can register and deregister the user.
  

Define how users can register for an event that is included in the course activation:

• Enable self-registration
• Registration can be done by team leader and authors
• Only author can do registration

If you want users to be able to register for an event only with approval, enable the Activate approval procedure. option by selecting the checkbox.

Approval is deemed “approved”
Learners are approved to participate in the event as soon as they register for it.
However, until the registration deadline for the event, the team leader can still object and prohibit individual learners from participating.

Approval is deemed “declined”
Despite registering for an event, learners are not yet fully registered. A team leader must first approve the registration. If not, they are automatically deregistered. This approval can be granted until the registration deadline for the event.

If you want users to be able to deregister from an event only with approval, enable the Activate approval procedure option by selecting the checkbox.

Approval is deemed “approved”
Learners’ deregistration from an event is considered approved as soon as they deregister themselves.

Approval is deemed “declined”
Despite deregistering from an event, learners are not yet fully deregistered. A responsible person (either the user’s team leader or the author) must first approve the deregistration. If a user’s team leader or author does not respond to this approval request, the learners are automatically deregistered. The responsible person can grant approval until the official deregistration deadline. Authors can enter how long the responsible person has to approve in the Days field.

If you want users to be able to register for the course activation only with approval, enable the Activate approval procedure option by selecting the checkbox.

If the approval procedure is enabled, the offer is always displayed to the user in their catalog—regardless of the value of Registration options (course activation). This also applies if registration is only enabled by team leaders and authors (i.e., no self-registration).

Reason:
The participant still cannot “self-register”, but must request approval or registration. If the participant receives approval from a team leader or author, they are registered by that person (i.e., no self-registration takes place).

Specify whether IDD should be used. By default, the Deactivated option is set because this option only applies to insurance companies. Select the Activated option to enable it.
