Overviews by event dates, event date groups, and prospect lists

In event management, you can choose between the overview by event dates, event date groups, and prospect lists. Learn here how the overviews differ and what options are available to you in each case.

Overview of event dates

In the overview of event dates, you can directly access event dates. Main event dates, as well as follow-up event dates from an event group, are listed individually here. In the list view, clicking on the title of the event date takes you to the event manager, which offers you registration and deregistration as well as other management options. The event icon takes you to the event wizard of the event associated with the event date. The calendar icon takes you directly to the editing view of the selected event date.

Overview by event date groups

In the overview by event date groups, Avendoo lists the main event dates of event groups. Avendoo forms an event group from the start of the main event date to the end of the last follow-up event date (if there are no follow-up event dates, the end of the main event date is also the end of the event date group).

In the list view, clicking on the title of the main event date takes you to the event manager. The event icon takes you to the event wizard of the event associated with the event dates. The calendar icon takes you directly to the editing view of the selected event date group.

Overview by prospect lists

The overview by prosepect lists shows all interested party lists that have been created in various events. This gives you the opportunity to quickly see how many interested parties are registered in the respective list.

In the list view, clicking on the title of the interested party list takes you to the event manager, which offers you registration and deregistration as well as other management options. The event icon takes you to the event wizard of the event associated with the interested party list. The calendar icon takes you directly to the interested party list wizard of the selected interested party list.

Filter

You can customize the display in the list view and calendar view via the filter settings. Not all filters are displayed, but they can be activated by clicking on the gear icon .

The following filters are available to you by default:

- Title
- Tagging (Only for event date overview)
- Language: Language in which the title of the event is displayed and to which language the “Title” filter refers.
- Event language: Language in which the event dates of the event are held.
- I am the speaker for the event
- I am the initiator of the event: The initiator is the person who created the event date. This person can also be used as a filter in reports.
- Hide follow-up event dates (only event date overview)
- Active course activations: Filters the list for course activations with the status “Active” or “Closed” (not “Archived” or “Initiated”).
- Contained in course activation: Only displays event dates that are integrated into a course activation. This means that participants can be registered for the event dates.
- Activated event dates of clients not assigned to me in which learning content is allowed to be created: Displays event dates that are in events whose client you cannot see due to missing authorization. The clients for the course activation in which the event is included, are accessible to you, though.
- Coordinator: Here you chose no restrictions, limiting the entries to dates for which yourself are the coordinatior, or limit to entries for which a selected other author is the coordinator.
- Event date status
  - Being planned
  - Initiated
  - Active
  - Carried out
  - Closed
  - Canceled
- Start date and end date / Start date (location) and end date (location): You can limit the period of the displayed event dates with these filters.
- Location: Name of the location, e.g. Microsoft Teams Online Meeting
- City: Name of the place, e.g. Paderborn
- Number of registered participants (max): Enter the maximum number of registered participants to find events with low utilization. Example: Events for which only [10] participants (or fewer) have registered so far.
- Number of free slots (max): Enter the maximum number of free slots to find events with high utilization. Event dates with 0 free places are also displayed, as these event dates are completely fully booked.
- Title of the run
- External reference (event date), external reference type (event date) and external reference (event) and external reference type (event): If you work with the external reference, you can display the information here, sorted by events and event dates.
- Event speaker: When filtering with this criterion, main and co-speakers are taken into account.
- Event date description: If you work with the field in the event date wizard under master data.
- Event group description: If you work with the field in the event date wizard under parameters.
- Event participants
  - User name
  - Last name
  - First name

  - ID
  - External reference
  - External user reference type
  - Identity Provider User ID
  - Identity Provider ID

  - Target client: Select the client whose classifications are to be used for the classification filter.

  - Billing: Choose between “No restriction”, “billable” and “not billable”
